How we handle your data.
This notice explains how we handle personal data when you visit convenor.eu or contact us through this site. We have tried to keep it short and plain. If anything is unclear, write to us and we will explain.
1. Who is responsible for your data
Convenor is a product of Zitha & Houwen, established in the Netherlands. For the purposes of the General Data Protection Regulation (GDPR), Zitha & Houwen is the controller of the personal data described below. You can reach us about anything in this notice at info@convenor.eu.
2. What data we collect
When you use the contact form on this site, we collect the information you choose to give us: your name, your email address, and your organisation (organisation is optional). We also record the time of your submission.
When you visit any page, our systems automatically process limited technical data needed to serve the site and keep it secure: your IP address, the type of browser or device you use, the page you requested, and the time of the request. We use your IP address only to deliver the page and to limit abusive or automated submissions of the form.
3. Why we use it, and our legal basis
We use the contact form data to read and reply to your message and, where you are enquiring as a prospective member of the founding cohort, to discuss that with you. The legal basis is Article 6(1)(b) of the GDPR, taking steps at your request before entering into a possible agreement, and Article 6(1)(f), our legitimate interest in responding to people who contact us.
We use the technical data to operate, secure, and troubleshoot the site, and to prevent spam and abuse of the form. The legal basis is Article 6(1)(f), our legitimate interest in running a safe and reliable website. We do not use any of this data for advertising or to build profiles of individual visitors.
4. Who has access to it
Your data is seen by the small team behind Convenor. To run the site and send email, we rely on a limited number of service providers, such as a website hosting provider and an email delivery provider, who process data only on our instructions and under data processing agreements. We do not sell your data, and we do not share it with third parties for their own marketing.
5. International transfers
Some of our service providers may process data on servers located outside the European Economic Area, including in the United States. Where that happens, the transfer is protected by an appropriate safeguard recognised under the GDPR, such as the European Commission's Standard Contractual Clauses and, where the provider is certified, the EU–US Data Privacy Framework. 6. How long we keep it
We keep contact form submissions for as long as our conversation with you is active, and up to twenty-four months after our last exchange, after which we delete them unless we have an ongoing relationship or a legal reason to keep them. Technical server logs are kept for a short period, normally no longer than thirty days, and then deleted or anonymised.
7. Cookies and tracking
This site does not use tracking or advertising cookies, and it does not run analytics that identify or profile individual visitors. Because of this, there is no cookie banner to click through.
8. Your rights
Under the GDPR you have the right to access the personal data we hold about you, to have it corrected or erased, to restrict or object to how we use it, and to receive it in a portable form. Where we rely on your consent, you can withdraw it at any time. To exercise any of these rights, write to info@convenor.eu and we will respond within one month, as required by the GDPR.
If you believe we have not handled your data properly, you have the right to lodge a complaint with a supervisory authority. In the Netherlands this is the Autoriteit Persoonsgegevens (autoriteitpersoonsgegevens.nl); you may also contact the authority in your own country.
9. Changes to this notice
We may update this notice as the product develops. When we make a material change, we will update the date below and, where appropriate, let the people who have given us their email address know.
